We handle personal information in accordance with applicable laws of Pakistan, our contractual obligations, and the practices described in this policy.
When this policy applies
This policy applies when you:
- Visit our website
- Submit an enquiry or application form
- Contact us through WhatsApp, phone, email or social media
- Visit our Lahore office
- Respond to one of our Facebook or Instagram advertisements
- Ask us to assist with an institution or visa application
It also applies to information provided by parents, guardians, sponsors, referees and other people connected with an application.
If you give us information about another person — a sponsor, parent, spouse, dependant, referee or employer — please make sure you are permitted to do so and that they know about this policy. They can contact us at the address above about their own information.
Information we collect
Information you provide to us
Name and contact details; academic qualifications and grades; English-language test results; course and destination preferences; employment and study history; budget, funding and sponsor information; passport and identification documents; academic, financial and visa documents; and information you provide during messages, calls and meetings with us.
Information we receive from other people or platforms
Parents, guardians and sponsors; referees and employers; Facebook or Instagram lead forms; referral partners and sub-agents; education institutions and testing organisations; and existing clients who refer you to us.
Website and campaign information
When you visit our website we collect information about how you arrived and what you did, including the page you landed on, the website that referred you, advertising campaign parameters, and details of any form you submit. We may also collect device and browser information and approximate location.
Information that is particularly private
Some applications require medical information, criminal-history information, financial records, or information contained in passports and identity documents. We collect this only where it is reasonably required for an institution or visa application, where you have asked us to assist, or where the law requires it.
How we use your information
- To assess your profile and advise on realistic study options
- To prepare and submit applications to institutions you ask us to approach
- To prepare visa documentation
- To respond to enquiries from students, institutions and partners
- To send scholarship alerts, intake deadlines and event invitations, only where you have separately asked for them
- To understand which advertising brings students to us
- To meet our legal, financial and record-keeping obligations
Automated tools
We may use automated tools to collect initial profile information, sort enquiries and route them to an appropriate counsellor.
These tools do not make admission or visa decisions. Recommendations and application decisions are reviewed by our counsellors.
Who we share your information with
We do not sell your personal information.
We share it with:
- Universities, colleges and other education providers that you ask us to approach or apply to on your behalf
- Visa authorities, where required for an application you have asked us to prepare
- Technology and communications providers, including Bitrix24 for customer relationship management, WhatsApp and Meta for communication and lead collection, Formspree for website-form delivery, and our website-hosting and email providers. Where analytics or advertising technologies are enabled, their providers may also process limited website and campaign information
- Professional advisers, accountants and auditors, where required
- Government or law-enforcement bodies, where the law requires it
We share information only where it is reasonably necessary for the service you have asked for, to operate our systems, or where the law requires it.
Overseas processing
Because we help students apply overseas, your information may be sent to or accessed from countries outside Pakistan.
This may include the country where your chosen institution or visa authority is located, as well as countries where our technology and communications providers operate.
This happens when we use cloud platforms, communicate through messaging services, work with education institutions, or submit an application on your behalf.
We take reasonable steps to choose service providers carefully, to limit who can access your information, and to use contractual protections where they are available. Privacy laws in other countries differ from those in Pakistan.
Cookies and analytics
Our website may use cookies and similar technologies necessary for website functionality. Where analytics or advertising technologies are enabled, we will explain their purpose and provide appropriate choices through our Cookie Notice or cookie settings.
You can control or delete cookies through your browser settings. Blocking some cookies may affect how parts of the website work.
Marketing choices
Optional updates about intakes, scholarships and events are separate from your application. Choosing not to receive them has no effect on the service you receive.
You can stop them at any time by using the unsubscribe link in any email, replying STOP where supported, telling us on WhatsApp, or emailing contact@opickaconsultant.com.
We keep a minimal record of your opt-out so that we do not add you back to our lists by mistake.
How long we keep your information
We retain personal information only for as long as reasonably necessary for the purposes described in this policy, including application handling, record keeping, dispute management and legal or financial obligations.
Enquiries that do not proceed are kept for a limited period after last contact. Application and visa case records are kept for longer, because they may be needed for future applications, appeals or disputes. Copies of passports, bank statements and other sensitive supporting documents are removed earlier, once they are no longer reasonably required.
When information is no longer reasonably required, we take reasonable steps to delete or de-identify it, unless we are required or permitted to keep it.
Security and data breaches
We use technical and organisational measures designed to protect personal information, including access controls, account authentication, encrypted website connections, backups, security updates, and procedures for responding to suspected incidents.
Access is limited to staff and service providers who need the information for their work. We review access permissions periodically and remove access when it is no longer required.
No online or storage system can be guaranteed to be completely secure.
If we become aware of a suspected data breach, we will investigate it and take steps to contain and assess it. Where the law requires notification, we will notify affected people and the relevant authority.
Applicants under 18
Students under 18 may make an initial enquiry.
Before we collect detailed documents, enter into an agreement, or begin an institution or visa application, we will require the involvement of a parent or legal guardian. We may ask for the guardian’s name, contact details, and confirmation of their relationship with the student.
When a student reaches 18, we may ask them to confirm how their information should be handled from that point.
Your requests and choices
Before providing access to personal information or acting on a deletion or correction request, we may ask for information reasonably necessary to verify your identity or your authority to act for another person.
You may contact us to:
- Ask what personal information we hold about you
- Request correction of anything inaccurate
- Request a copy of information you have provided
- Withdraw optional marketing permission
- Ask us to stop promotional messages
- Ask us to delete information that is no longer required
- Make a complaint about how your information has been handled
We may need to keep some information for an active application, financial records, dispute handling, fraud prevention, legal requirements, or legitimate business records.
We aim to respond within 30 calendar days. If we need more time, we will explain why.
Complaints
Please send privacy concerns to contact@opickaconsultant.com. We aim to acknowledge complaints within five working days and to give a substantive response within 30 calendar days.
